Shopify publishes no SLA for review decisions. Merchants commonly report decisions within a few weeks, but some reviews remain open for months with no update.

The real deadline is invisible: the date Shopify's or the processor's underwriter makes a final decision. You cannot know when that is, so the clock that matters is the one you control — getting a full backup of your store today, while you have admin access. A review that goes wrong becomes a suspension, and a suspension can become an account closure. Once access is gone, your data is unreachable.

Why it happened — specifically for functional mushrooms

Shopify Payments is underwritten by Stripe, and Stripe's restricted-businesses list groups all mushroom products together because the same retailers sell both legal functional mushrooms and controlled substances like psilocybin or amanita muscaria. A reviewer sees "mushroom" in your product titles or claims and cannot tell whether you are selling reishi or psilocybin without drilling in. The secondary trigger is vague marketing language — if your copy says "mind-enhancing" or "consciousness-expanding", the reviewer assumes the worst and declines without a second look.

Rule out the easy fix first — then deal with the real one

Rule this out first, because Shopify does not document a route for functional mushrooms. What happens instead is that merchants apply under the name they have, Stripe's system flags the word, and a human reviewer gets the ticket. That reviewer's job is to confirm you do not sell controlled substances. Most declines come not from policy but from reviewers unable to confirm what you actually sell — your product names are ambiguous, your claims sound psychoactive, or your supplier list is missing. A fresh application with crisp product names and a clear supplier declaration sometimes works. An acquirer outside Stripe's ecosystem will underwrite from scratch, which is slower but more straightforward.

It only helps if all of these are true:

  • Your product names must not use "magic", "consciousness" or "psychoactive" language.
  • You must have a documented supplier list with full names and addresses.
  • Your product pages must clearly state the species and absence of psilocybin or amanita.
  • You cannot claim the products treat or cure any medical condition.
  • Your store must not cross-sell any controlled substances or plant material.

What this means for a business like yours

💊 Sold to be swallowed, inhaled or applied — health claims and product-liability risk

Your account is under review because someone flagged a health claim, a dispute rate, or a product category match. The reviewer wants to see claims language, not certificates. Take your product pages and marketing copy—show exactly what you say the product does. If a page says 'supports' joint health, that is safer than 'eliminates inflammation', which reads as a drug claim to an underwriter the same way it would to a regulator. Collect your substantiation: third-party testing, published studies, ingredient lists. Answer the exact question asked. Do not offer extra risk. While the review runs, build a copy of your store on a gateway known to accept your category—you still have leverage now, and preparing silently costs nothing.

🔁 Recurring billing is a large share of revenue

Your account is under review, and every day the review runs, you lose recurring revenue in two ways: new signups stop, and existing subscriber billing may be suspended if the processor locks the account while reviewing. Subscription payment methods are held by the processor and cannot be exported—you cannot simply hand them to a new gateway. Answer the review question with precision, but do not wait for the all-clear to prepare. Start building a copy of your store on a gateway that accepts subscriptions in your category. If the review goes against you, migrating subscribers means either a processor-facilitated transfer (rare and slow) or asking customers to re-enter payment details (never fully recovers). The copy you build now, while review is still open, is your insurance policy.

⚖️ Legal status is genuinely contested or actively changing

Your account is under review because the legal status of your category is contested or actively changing, and processors price that legislative risk separately from chargeback risk. You cannot change the law, but you can show the reviewer that you are tracking it. Gather public statements from regulators, attorneys general, or recent court filings relevant to your jurisdiction and product type. Answer the review question with that evidence in hand—show you understand the landscape and that your compliance stance matches the current legal position. Do not argue that the law should be different. In parallel, start a copy of your store on a gateway that has publicly stated it serves your category despite the legal volatility—some do, explicitly. You will learn during the review whether your current processor will survive the next legislative move, and a prepared store means you are not trapped by their risk appetite.

What you actually have to fix

Underwriters do not change their minds because you asked. They change them because the facts changed. For functional mushrooms, these are the facts that move the decision:

Rewrite product titles and descriptions to name the exact species

This is the single highest-yield fix. "Magic mushroom extract" and "consciousness support" land you in the controlled-substance pile. Use the binomial name or the common name of the species: lion's mane, reishi, cordyceps, chaga. Then say plainly what it is — a dried mushroom or mycelium powder for supplement use. Describe the normal use case: cognitive support, energy, immune function. Remove any language suggesting euphoria, hallucination, alteration or enhanced consciousness. Audit your product pages, email campaigns, blog posts and any paid ads, because reviewers read all of them.

Compile a supplier list with certifications and COAs

An acquirer needs to see where each product comes from and that it is what you say it is. For each SKU or strain you carry, obtain the supplier's name, address and phone number. Ask your suppliers for a certificate of analysis (COA) showing the species, the active compound levels (beta-glucans for reishi, hericenones for lion's mane) and a negative result for psilocybin and controlled alkaloids. If your supplier cannot produce a COA, you cannot sell the product to a high-risk processor. Store these documents and be ready to share them in application or underwriting.

Get supplier attestations that products contain zero psilocybin

Reviewers want to rule out cross-contamination and intentional adulteration. Contact each supplier in writing and ask them to confirm in writing that their mushroom products contain no psilocybin, no amanita alkaloids and no controlled substances. Keep their replies. If a supplier balks or goes silent, source that product elsewhere or stop carrying it. An attestation from the supplier is not a legal guarantee, but it shows you did your homework and were not negligent — and it moves a reviewer from suspicion to confidence.

Audit your entire site for ambiguous or drug-like language

A single stray sentence can cost you. Search your store for words like "trip", "high", "psychedelic", "altered state", "transcendent", "hallucino". Check your blog archive, your email unsubscribe page, your FAQ, any customer reviews you display, and your social-media links. If a reviewer finds it, you lose. Replace it with something specific and honest: "supports focus", "promotes restful sleep", "used in traditional medicine". Be boring. That is the goal.

The recovery playbook

  1. Read the request and answer only that questionDo not assume you know what triggered the review. Read the email carefully and identify the exact documents or clarifications they asked for. If they asked for bank statements showing business revenue, send bank statements — not tax returns, not personal documents, not a general business overview. If they asked about your supplier, name the supplier and provide a wholesale agreement or invoice — not a marketing story about your brand. Do not volunteer information they did not ask for. Every piece of paper you add becomes another thing they can scrutinize, and underwriters look for inconsistencies. Stick to the question.
  2. Get a verified copy of your store — today, while you have accessThis is the step people skip because the review feels temporary and checkouts are still open. It is not temporary, and access can vanish without notice. A negative review decision is usually followed by an account suspension or closure. Once that happens, admin access can be revoked immediately, and you lose the ability to export anything — catalog, orders, customer data, SEO metadata, theme files, discounts, redirects, metafields. Shopify's own CSV export cannot carry metafields, orders, gift card codes, videos, themes, menus, discounts or redirects. That is why a backup taken during the review, while you still have full control, is the only insurance that works. You will almost certainly not need it. But if you do, it is the difference between a bad month and a dead business.
  3. Gather any supporting documents they did not ask for but might needWhile you are responding to the stated request, identify supporting evidence you can provide without volunteering it — documents that backstop your answer to their question. If they ask about volume and you have a marketing invoice showing a paid campaign, or a supplier invoice showing you bought stock in bulk to meet demand, keep those nearby. Do not send them unless they ask, or unless your first response does not clear the review and you are invited to provide more. Let them lead on scope. Over-documenting looks like you are hiding something.
  4. Respond before the deadline, using the communication channel they specifiedRead the email again for the exact submission method and deadline. Send your response through that channel, not through support or a different email address. If they asked you to upload documents via your Shopify admin, do that — it leaves a timestamped record. If they gave you an email address or support ticket, use that. Include a clear note stating what you are submitting and why: "Per your review request of [date], I am providing [documents] which show [specific fact you are answering]." Do not oversell; be factual and brief. Save a copy of everything you send, and the timestamp.
  5. Prepare for a second gateway before you hear backA review can take weeks or months to resolve, and you cannot know the outcome in advance. Do not wait for a clearing decision to act on your backup plan. Research payment gateways that publicly advertise your product category and accept merchants with histories similar to yours. Stripe, Square, Wise, 2Checkout and others operate alongside or instead of Shopify Payments for many merchants — but approval is not guaranteed, and each has its own underwriting. The time to gather your account information and test integrations is now, while your store is fully functional and you are not under time pressure. If the review clears, you delete the backup and move on. If it does not, you have already removed the panic from the migration decision.

A functional mushroom store's data is dangerous to move by hand because the compliance content lives in metafields. COAs, test results, species confirmations and supplier IDs are often reference-type or file-type metafields that a CSV export cannot carry at all. Does this need a new company?

You do not genuinely need a new legal entity to apply. A new company will not reset your MATCH listing, and an acquirer will underwrite the person and the processing history anyway. If you are applying to a new processor, use the same entity you have. Spin off a separate company only if you want to sell products that are genuinely different in category or risk — and even then, the owner shows up in underwriting.

Frequently asked

Will a new store improve my odds of approval?

Not on its own. A new Shopify store is a clean slate for the platform, but payment processors do not see it that way. They see the person and the processing history. If Shopify Payments declined you, it was because of what you sell or how you market it, not because your store is old. Moving to a new store without fixing the product names, the claims and the supplier documentation just means you get declined faster by the next processor. Fix the store first. Then apply.

Which gateway should we use after Shopify Payments?

The gateway is the easy part. Several high-risk acquirers publicly underwrite functional mushrooms — you can route through Authorize.net on a high-risk MID, or through gateways that work with PaymentCloud, Corepay, Easy Pay Direct, Soar Payments and Inovio. The hard part is the merchant account behind the gateway. Which one will take you, at what rate and with what reserve, depends on your volume, your supplier documentation and whether your product names and claims pass a real human review. What reserve should we expect?

High-risk acquirers in the supplement space typically hold 5–10% of your monthly revenue in a rolling reserve for 90–180 days. That means if you process 10,000 pounds in a month, 500–1,000 pounds is held back and released slowly as time passes and chargebacks do not appear. The exact number depends on your ticket size, your refund rate and your chargeback history. Subscription revenue is often held longer because chargebacks on recurring charges trend higher. Budget for a 90-day cash gap when you switch processors.

Do supplier COAs survive a store migration?

Not automatically. If your COAs or test results are stored as product metafields or as links to files in your old store, a standard store migration will copy the file paths but not update them. The page renders fine but the link points nowhere and the customer sees a 404. If you migrate, you must either re-upload all compliance files to the new store or update all the metafield references by hand. This is why many mushroom sellers do a test migration first and check a few key products for missing files before going live.

How long does a Shopify Payments review actually take?

There is no published timeline. Merchants commonly report decisions within two to four weeks, but some reviews remain open for months with no communication. The processor does not announce when a decision has been made; you find out either when you receive a follow-up email asking for more information, or when your account status changes without notice. Checking your account settings regularly for status changes is safer than waiting for an email.

What happens to my money during the review?

Payouts typically continue during an active review. Money from orders you process lands in your bank account on your normal schedule. The risk is not immediate loss; it is the outcome of the review. If the review goes against you, that is when payouts stop. The balance may then be held against potential chargebacks or disputes for weeks or months depending on the reason for the suspension.

Will they tell me why they are reviewing my account?

The first email usually says why — it mentions a document request, a dispute threshold, a volume change, or your product category. If it is vague, reply asking for clarity on exactly what the underwriter is concerned about. Be factual and non-defensive: "I want to ensure I address your concern — can you clarify whether this is about my supplier documentation, my transaction volume, or something else?" Sometimes they will detail it; sometimes they will not. Either way, answer what they asked for.

If I cannot find the documents they asked for, what should I do?

Tell them. Do not fabricate or send a substitute. If they asked for a bank statement and your bank account is new, or if you do not have incorporation papers because you operate as a sole trader, say so in your response. Explain what you do have instead, and why. For example: "I do not have formal incorporation papers as I operate as a sole proprietor — my government-issued ID and the business registration attached show my authority to operate." Underwriters understand that not every business has every document type. What they cannot forgive is documents that appear forged or misdated.

Can I appeal if they reject my account?

A review is not the same as an appeal. If your account is rejected after this review, you can ask why — and if the rejection was based on incomplete or outdated information, you can submit a formal appeal. But you cannot appeal a policy. If your product category is on the processor's restricted list, appealing your story will not change the category restriction; it means moving to a processor that accepts it. If the category is legal in your jurisdiction but restricted by the processor, you need a different gateway. A new Shopify store with a different gateway, or a migration to a new platform, is then the real option — not another appeal.
